Policy: Traveling with Company-Owned Devices [Needs Input]

Requesting a laptop or phone for travel

If you need a loaner or "burner" laptop or device for travel, submit a request to IT. Upon return, immediately turn in any borrowed equipment to IT and work with them to update your passwords and other account information as required.

IMPORTANT: If you are traveling to a "high-risk" country, such as China, you must adhere to the Traveling to High Caution Countries Policy.

Traveling to high-risk countries

When traveling in high-risk countries, assume that any and all electronic communication will not be private or secure. Places like conference rooms, hotels, taxis, and rental cars are common cybersecurity risk areas. It is highly recommended that you NOT carry your <Company>-provided laptop computer in such countries, unless absolutely necessary.   1. Request a loaner or “burner” laptop from IT, to help you with the following.
    • Load minimal data and applications.
    • Set up precautions for sensitive files.
    • Verify devices are updated and secured with your PIN or passcode.
    • Verify you are enabled for multi-factor authentication.
    • Set up two-factor authentication for any personal websites and services (such as personal email, social media, and banking services) you plan to access while traveling.
  2. Upon return, give the loaner back to IT who will help you to:
    • Update your Unity passwords, including voicemail, and disable any compromised credentials.
    • Change passwords for non- accounts (personal email, social media, etc.).

What should I do if a device is lost or stolen?

To protect both <Company's> and your data privacy, immediately follow these instructions once you realize your device is lost/stolen:

  1. Inform IT and your manager about the loss/theft, in writing, within 24 hours. Be sure to request the device's S/N. (Note that reserves the right to remotely access email/calendars, enable, disable, and wipe the device.)
  2. (Device owner) Call the carrier to report the missing device, suspend the service, and confirm a renewal date.
  3. (If applicable) Attempt to locate the device via the FindMyMac feature.
  4. File a police report, preferably within the city that you your device was lost/stolen, and submit a copy of the report or report number to IT within 72 hours.
  5. (If not found after a day or two) Inform IT of the status or send the wipe command via FindMyMac or Airwatch, or inform.

First time lost/stolen/damaged corporate issued devices will be replaced by for the same or equal value. Employee is responsible for replacing subsequent lost/stolen/damaged device. If the device was not backed up, personal information such as photos, will be lost.
