How do I schedule a Teams meeting?

In Outlook:

  1. In Outlook, switch to the calendar view.
  2. Click New Teams Meeting at the top of the view.
  3. Add invitees or entire contact groups/distribution lists.
  4. Add your meeting subject, location, start and end times. Click Send.

In Teams:

  1. In Teams, click Meetings (in the left menu) and click Schedule a Meeting.
  2. Select the group (channel) or individuals that you want to meet with.
  3. Use the Scheduling Assistant to set up the meeting.

How do I add a dial-in number to my Teams meeting?

  1. Schedule your Teams meeting from Outlook. In Outlook, switch to calendar view and click "New Teams Meeting" at the top. Dial-in phone numbers should be automatically included.
  2. Schedule your meeting from the Teams desktop app, but ensure PSTN conferencing is turned on for your account. (Talk to your IT admin if you're not sure.)

How do I call into a Teams meeting?

  1. On desktop: Click the Calendar icon on the left side of the app and select the meeting you want to join. On mobile: In the Teams app, tap the meeting or meeting notice and tap See details.
  2. On your phone, dial the number provided in the meeting details. (If there is no number available, contact the meeting organizer.)

How do I make an outgoing phone call in Teams?

  1. In the Teams desktop app, go to Calls. If there is an option to "Dial a number", proceed to the next step. If the option does not appear, your organization may not have purchased a calling plan and this feature may not be available to you.
  2. Click Dial a number. Dial the number you'd like to call using the dial pad and click Call.

What types of meetings can I set up with Microsoft Teams?

With Teams, you can schedule three kinds of meetings:

  • Ad-hoc meetings: When you need to meet with a group “right now,” click Meet Now in Teams.
  • Private meetings: Use for one-on-one meetings that might contain privileged information.
  • Channel meetings: These are scheduled meetings for teams or groups that belong to a channel.
